Shuttle Bus:

  We are actively pursuing a shuttle bus again for 2010.
We encourage everyone to consider carpooling to the Faire.  Everyone with space in their vehicles is encouraged to set up a carpool.  Use BC Renfest as a keyword, so others can find your submission.  We recommend choosing a common location for all pickups (perhaps King George Skytrain by the Compass Point Inn), so everyone knows where to meet.  Your carpools can be any day of the Festival, or all 3 days if you plan on coming back.

Please Note: All attendees grant, with their ticket purchase or free admission, permission for their image and/or voice
(in photograph and/or in video form) to be used in all BCRF promotional materials.

Due to a change in property we have had to reasses our prices.

Children 3 and under free.

Child Admission is for children 4 - 12 years of age - $10 a day

Adult Admission is for people 13 - 64 years of age - $15 a day

Senior Admission is for Adults who are 65 years of age and older. - $10 a day

Child/Senior Weekend Admission is for one child or one senior for all three days of the Renfest. - $27

Adult Weekend Admission is for one adult for all three days of the Renfest. - $35

Family Admission is for two adults and two children for one day of the Renfest. Adults do not have to be the children's parents (nor do the children have to belong to the adults) BUT they must be able to be responsible for the children with them - $40

Policy on Outside Food:

We understand that many people have food alergies and special needs; However, We cannot guarantee that the food vendors interested in being at our event will cater to such things. In light of this, we allow outside food to be brought in but no lockers or cooler units can be provided. Do feel free to contact our food vendors via the vendors page to ask what their product is.

Security, Weapons & Pets Policies:


All people entering into the site with a 'bladed weapon' (dagger, sword, etc.) or arrows must have them peace bonded. Swords must be peace bonded to your belt or to the sheath and arrows must be tied together in a bunch and left in their quiver. No replica or actual firearms permitted on site. Obvious toy weapons are acceptable but may be secured if security feels it necessary. If you have any questions please see staff or a member of the security team.

For people wishing to have pictures taken with their swords drawn, there will be an area set aside for that and the weapon must be bonded again before leaving the area.

Swinging around staffs or bows can be taken as an aggressive move and the weapon can be removed for the duration of the day. If you draw your bow and attempt to dry-fire it, it can also be taken away for the duration of the day. Save posing with your bow for the photo area. Note: It is never recommended that you dry-fire a bow AND you cannot nock an arrow in any area other than the archery range. This will not even be tolerated in the photo area.


If your weapon is not peace bonded upon entering the fair, you will be asked to either bond it or return it to your car for the duration of your visit to the fair.

Weapons vendors will either peace bond or wrap the weapon securely after the sale of a weapon.

Some members of the ensemble will be 'stage fighting' throughout the grounds. We can tell the difference between our actors and a 'playtron' by the small BCRF badge that they will be wearing. Please do not try to 'join in' on the show.

Re: Pets

Due to a few situations over the last few years (Nearby or directly in front of our booth) we have chosen to make our festival pet free. Any animals that are performing will have to be approved by the entertainment director. If you have traveled with your pet, please make arrangements to leave it at your campsite/hotel/friend's home/with a sitter.

Handycap assist animals (such as guide dogs) are accepted but must remain with their owners at all times and on a leash (or equivalent). Please be responsible with your working animals and clean up after them.

To patrons: Please respect working animals. Do not approach them, talk to them, offer your hand to them or feed them without permission from the owners. Working animals can include performance, show, and demonstration animals as well as assist animals.

About Us:

We are a group of dedicated performers, entertainers, actors, artisans, volunteers and vendors with the dream of establishing a permanent site Renaissance Festival here in British Columbia. With over seventy Renfests and historically themed events in North America providing jobs and unique opportunities for professional and personal growth, the originators of the BCRF saw no reason why it could not be done here. Following the same format and development plan as many of our successful counterparts, over time we hope to be able to turn the volunteers into paid staff and give our talented performers a chance to shine and feel at home. Those who presently provide the support we need for this growth will be the first to be offered a permanent place in our hearts and on our site.

Stats for the BC Renaissance Festival (AKA the BC Renfest or BCRF)

At this time we are a one-weekend event.

*

Future plans are to be able to have a permanent home so that we can operate over a number of weekends and provide a space for special functions and educational opportunities.

Presently our vendors are working out of tents and temporary structures. With a permanent site they would have their own permanent structure stores, helping the village truly be a village

*

We bring in a Jousting team from Alberta and by doing so we are supporting unique Canadian talents and hope to add to the development of historical sports in Canada.

We have a storyline cast consisting of roughly 13-18 actors and a small villager population.With a permanent site we could have a larger storyline cast (some renfests have 20 plus on storyline cast) and a healthier village population (many established renfests have roughly 100 villagers)

With a one-weekend event, we have one storyline that repeats itself each day. Multiple weekends would give us the chance to run the one story each day for a number of weekends and be able to do a second or third storyline for themed weekends.

We are setting up four temporary stages for each year. An actual village would allow us to build full stages and increase the number of stages.

There is plenty more to say about us, but let us share with you a few more thoughts:

We are not a reenactment group and are more focused on entertainment mixed with education. Commonly known as 'Edutainment', this form of performance gives the public a 'taste' of history and encourages them to continue education once they are enticed. This is a safe and fun way to learn and is becomming very popular in schools and theatres.

We welcome you no matter what you are wearing (as long as it is legal).

We are a family-friendly production and project with warnings in the program book for any show that may not be as child friendly as some of you would like. Our children's stage (and games/rides area) will always be in a position that your kids will not be left out and you can choose when and where they roam. For non-kid adults this gives you a space as well to enjoy what a parent will normally not allow their child to watch. In most cases it is simply a matter of sugestion in a line or section of the performance.

We are unique, unlike anything BC has had so far and we are finding that this is not only a refreshing thing for our audience but also for our actors. The combination of script and improv has resulted in the return of 95% of our stage performers and ensemble/village actors.

So you want to Volunteer...


Without Volunteers, The BC Renaissance Festival cannot function. These are the people who assist in making a renfest what it is. They help with the atmosphere while making sure all the 'little things' are taken care of. Games and Rides, Squires to the jousters, runners, front gate, security, you name it... It is important to note that you are trusted to do the jobs you promised to do in the way the project requires. We all understand the challenges this project provides and rise to the occasion as this is the only way to see if this truly can be a success in this province.

We are ALL volunteers and understand that one day, this may turn into an actual job. The longer we volunteer and dedicate the more likely success will bring more and more return to our hearts, minds and life.

On site jobs consist of...

The volunteer posts are varied and many. This is a list of the jobs that are needed for the renfest. Many of these jobs already have someone in that position but a number of them are doubled up or up for grabs at this time. All volunteers will be placed according to their desires and skill sets, but there is flexibility to spend time at more than one post over the course of the festival weekend as well as to enjoy the renfest itself.

Guest Services/Ticket Sales:

This position is at the front gate and/or at the ticket booth in the Games & Rides area.
- Sell tickets to attendees not already in possession of tickets
- Record tickets sold of each type (Adult, child, etc)
- You are the first person attendees see at the festival, so excellent people skills are a must.
- Advise attendees of site rules (no pets, peace bonded weapons, etc) Security is also posted at the front gate to assist with these issues.
- At the Games & Rides area there is a token booth to sell wooden "shillings" for the Games, Rides and Town Insulter.
- All money collected must be accounted for and turned over to appropriate security or to one of the department heads or producers to be securely stored.

Games and Rides Operators:

These positions are in our games and rides area, but are not limited to a specific game or ride. We have several games of skill and human-powered rides.
- You will be responsible for the safe operation of the ride you are currently attending to.
- If at a game, your responsibility is to explain the rules to attendees, adjudicate game play, and award prizes (a partial refund of tokens)
- First aid training is a plus but not required.

- Respect for the safety of the attendee and the ride/game itself a HUGE must.
- All games and rides must be staffed at all times during village public hours (9AM to 9PM Friday through Sunday)

Security:

Experience is preferred but not necessary.
First Aid Training is also preferred but not necessary.
Security is responsible for maintaining a safe environment for actors, staff, volunteers and attendees. Security is posted at the front gate, in the village, and at the Pub at all times we are open to the public/final pub/property closing. (9:00AM-9:00PM, Friday through Sunday)
- Front gate security is responsible for ensuring our weapons policies are met (no firearms, all weapons peace-tied)
- Front gate security is also there to assist front gate staff with enforcing all site rules (no smoking, no pets, etc.)
- At the Pub security is responsible for ensuring alcoholic beverages remain in the pub and minors stay out. No exceptions!
- In addition to the above posts, a couple of guards are needed to wander the grounds during the festival to assist where needed (i.e. break relief, dispute resolution, etc) and ensure all rules are being enforced (no smoking, weapons peace-tied, etc) for the safety and enjoyment of all.
- Finally, the festival site requires 1-2 guards on site patrolling the grounds overnight. As this is a highly trusted position, typically the security head and his assistant perform this task, but additional assistance is appreciated.

General Labour:

There is much to be done before and after the festival. As well, during the faire there is always something else that needs doing.
- General volunteers can expect to cover breaks for Games and Rides and Ticket staff, as well as perform simple chores and run messages between staff.
- Before the festival there are rides to be built, sets to be constructed and painted, and signs and props to be created and painted (generally at a shop in Burnaby not far from Lougheed Mall)
- During the week leading up to the festival and for a day or two afterwards we need as many people as possible to put up and tear down sets, stages, Games & Rides, booths, seating etc.

Important: ALL POSITIONS IN BCRF ARE VOLUNTEER. All performers, command team members and staff are volunteering in order to hopefully develop a future permanent site renfest here in BC Canada. With the support and advancement of this project our goal is to eventually provide summer employment, an impressive talent showcase and unique vendor opportunities, while contributing to BC's tourism industry and entertainment community.

Teardown on the Monday (onward if necessary) is also a time of great need for helpful bodies.

Other than setup and teardown, there is no tech week as we are dealing with the natural outdoors. We go on no matter what the weather and no matter what the audience size.

We will be doing parades and promotional opportunities again (only if you choose to take part) and it is recommended that you join us. We do attempt to have a large attendance for parades and public promos but it is not necessary for you to attend. Many of the 'staff' also put together villager characters and costumes to match. If this is not your 'thing', we ask that you come to the promo ops as assistance. Things like 'water bottle person' and video/still camera is always needed.

Never be late and always call in any problems, delays or cancellations. Your whole cast and crew is depending on you to be an active and respectful member of the team.

So you want to be part of the Command Team...

 


We are the group of people who hold posts and jobs that 'run' the BC Renaissance Festival. We are head of departments and second in command positions that are vital for the operation of this event.

This is not a 'Committee' position in that the producers organise the structure and it is our job to help make it work for them, for the audience and for the project. It can be an incredible learning experience and can provide an interesting addition to a resume. It is important to note that we are trusted to do the jobs we promised to do in the way the project requires. We understand the challenges this project provides and we rise to the occasion as this is the only way to see if this truly can be a success in this province.

We are ALL volunteers. The longer we volunteer and dedicate, the more likely success will bring more and more return to our hearts, minds and life.

The Command Team is the 'core group'. This is a list of the jobs that are on the Command Team.Many of these jobs already have someone in that position but a number of them are doubled up or up for grabs at this time. Once accepted as a Command Team member, you will gain access to the Command Team Yahoo group where all of the additional info, discussion, minutes and meeting times are stored for all to see.

For more details on the following jobs, please feel free to ask for more info. This is simply a rough description.

ASSISTANT DIRECTOR:


- Able to support the director and assist in contacting or pursuing the actors. Willing to have 'director meetings' with the director where necessary.
- Be available on festival days and have a cell phone on you at all times for easy reach.
- Be available for rehearsals (at minimum every Sunday for approx. 16 Sundays)

- Be aware of 'goings on' and have a good eye for positioning and a good sense of 'cast politics' without being wrapped up in it.

PUB-SING COORDINATOR:


- Able to support the director and work with the director in formatting and structuring the pub-sing.
- Teach the actors how to sing the songs in the manner and choices of the director. Work with the guitarist in order to 'sync' up the cast and the musician.
- Be available for rehearsals (at minimum every Sunday for approx. 16 Sundays and any additional required rehearsals)

- Be in the audience during performance in order to correct 'issues' or 'flaws' before the next day's performance.

WEBMASTER:


- Keep on top of updates approved by the producer(s).
- If necessary, design a new page and submit for approval in order to
- Make sure cast, vendors and crew/volunteer names are spelled correctly and that the order and layout of any page is to the liking of the producers.

PROMOTIONS AND MEDIA COORDINATOR OR ASSISTANT:


- Design and distribute press releases and press passes.
- Distribute prizes and set up parade entries.
- Set up interviews with the producer(s) and work along side the director

- Update on-line listings and promote via social media, et al.

VOLUNTEER COORDINATOR OR ASSISTANT:


- Primarily responsible for assisting in finding volunteers for everything from available command team positions to general labour for setup,
- Be available on festival days and have a cell phone on you at all times for easy reach.
- Assign volunteers to appropriate tasks and see to it that they are followed through. No volunteer should be left unassigned!

VENDORS MANAGER/COORDINATOR OR ASSISTANT:


- Research and contact vendors whose merchandise fits the BCRF criteria. (i.e. leather working, renaissance costumes, toy wooden swords and shields, jewellery. etc)
- Be available on the days of the events and any days previous when necessary to see to their needs and be sure that their booths run smoothly. - Must have a cell phone on you at all times during the festival days for easy contact.

GAMES AND RIDES COORDINATOR OR ASSISTANT:


- Researches rides and games that fit the BCRF criteria, gathering info on rental fees and availabilities, write up an expense budget and give the info to the CoProducer.
- Be available for festival dates to be sure that setups and teardowns are done smoothly and on time.
- See to the volunteers given to them to run the games/operate the rides and be sure that rules are followed to avoid any mishaps and injuries. As well as be sure that all games and rides have volunteers present to run them at all times during the festival.

ASSISTANT PROPERTY MANAGER:


- Have knowledge of property and rezoning.
- Research available lands as possible permanent location sites for the
BC Renaissance Festival.
- All information, as well as optional pictures or video should be submitted to the CoProducer.

SPONSORSHIP MANAGER:


- Acquire sponsors for promotional events and for the BC Renaissance Festival itself.
- Acquire sponsors for specific performers (most will come perform if their expenses are covered).
- Plan and be available for fundraiser events and the festival days.

BOOKING AGENT:


- Book characters from the BC Renaissance Festival for parades and promotional events.
- Find out which actors/actresses are available that day and ensure that they attend.
- Keeps an eye out for Museum/Educational/support building events and parades that we ought to attend.

BOOKKEEPER:


- Keep track of and organize all paperwork/ forms submitted to the CoProducer.
- The Bookkeeper must keep track of all expenditures/cheques and keep it up to date!

PHOTOGRAPHER AND VIDEOGRAPHER:


- Both must be available during promotional events, on site rehearsals and/or during the festival to record them for our archives.

-This person does not have to HAVE a camera(s). Just be confident in using one.
- MUST NOT, IN ANY WAY, edit their photographs or video, but submit them directly to the Executive Producer. (All memory cards and tapes will be returned after they are archived or disks are burned right away)

Meetings are every second Sunday at 7:00 pm in the evening at the home of one of the producers. This is in Burnaby near by the Gilmore Skytrain station. They tend to run 1.5 to 2.5 hours on average. They sometimes get longer closer to the actual festival dates. Do not skip them without a preset obligation that the producers have been made aware of with plenty of notice or unless you are deathly ill. This is the primary chance the producers get to share info and organise the group. Individual phone calls and meetings are too time consuming and distracting from their primary jobs. The meetings keep the flow and level of organisation consistent.
